Support Bulletin - OpenBook Backups

Due to recent events that resulted in data loss for a couple of our customers we would like to revisit your OpenBook backup process. This will help you protect your property's data. The OpenBook software is setup to make an automatic backup copy of your software data on a regular basis to your server's hard drive. In the event of a failure of that hard drive data can be lost of external backups are not made as well. Our company does not backup your database of customer information.

To obtain external backups of your database it is recommended to purchase a quantity of one or two USB Flash Drives (512MB or 1GB). Each day make a backup of your database to these devices as a secondary backup to those automatically made on your server hard drive. To do this:

From the server computer go to the start menu, "all programs" and locate the "yellowstonehs" folder. In that folder click on the "OpenBook Server Control Panel." Click on the "OpenBook Database" tab and click on the "Export DB" button. Click on the plus (+) sign to expand "My Computer." Click on the name of your USB Flash Drive (probably D or E - unless you have renamed it) until it turns blue signifying it is selected (or you can create a folder on the flash drive named OpenBook Backups if you wish). Once it is selected click ?"OK" and wait for the OpenBook database to be sent to the USB Drive. It will appear as if nothing is happening but will eventually give you a message of "Backup Successful" or an error message if the flash drive is full. To verify a successful backup, open the USB drive (from Start - My Computer - 'Device Name') and look for a file that ends in .bak and also has a current creation date. To avoid filling up the flash drive space, periodically delete older copies of the database. Note that as your database gets bigger over time, you might need more storage space.
